Information we collect

Depending on how you interact with us, we may collect:

  • your name; 
  • email address and telephone number; 
  • event date, venue, timings and type of event; 
  • music preferences and other information you provide in connection with an enquiry or booking; 
  • correspondence between you and NSC Entertainment; 
  • booking, invoice and payment information; 
  • photographs or video supplied to us or which you have agreed we may use; 
  • technical information generated when you use our website, such as device, browser, IP address and website usage information where collected through cookies, analytics or website security services. 

How we obtain your information

Most personal information is provided directly by you when you contact us through our website, email, telephone, WhatsApp, social media or another enquiry route, or when you make and manage a booking with us.

We may occasionally receive information from another person involved with your event, a venue, an event supplier or an enquiry platform where you have asked or reasonably expect them to pass your details to us.


Why we use your information

We use personal information to:

  • respond to enquiries and provide quotations; 
  • check availability and discuss your event requirements; 
  • create and administer bookings; 
  • plan and deliver DJ and entertainment services; 
  • communicate with you before and after your event; 
  • issue invoices, record payments and maintain appropriate business and tax records; 
  • deal with queries, complaints or disputes; 
  • operate, secure and understand the use of our website; 
  • use photographs, video or testimonials for promotional purposes where appropriate permission has been obtained. 

Our lawful bases

We rely primarily on the following lawful bases under UK data protection law:

Contract – where processing is necessary to respond to an enquiry, take steps at your request before entering into a contract, or provide services under an existing booking.

Legal obligation – where we need to retain or process information to meet legal, accounting or tax requirements.

Legitimate interests – where necessary for reasonable business administration, maintaining appropriate records of enquiries and communications, responding to queries or complaints and protecting the interests of NSC Entertainment, provided those interests are not overridden by your rights and interests.

Consent – where consent is the appropriate basis, for example certain non-essential website technologies or particular uses of photographs or promotional material. Where we rely on consent, you may withdraw it at any time.


Who we share information with

We do not sell personal information.

We may share information where reasonably necessary with trusted organisations or individuals who help us operate the business or provide your service. These may include:

  • our customer relationship management provider, including HubSpot; 
  • website hosting and website service providers, including GoDaddy; 
  • email, communications and IT service providers; 
  • website analytics and security services, including services such as Google reCAPTCHA; 
  • accounting or payment service providers; 
  • DJs, musicians or other trusted suppliers engaged where necessary to fulfil your booking; 
  • professional advisers or public authorities where disclosure is legally required. 

These organisations or individuals only receive information necessary for the relevant purpose.

Some technology providers may process information outside the United Kingdom. Where this happens, we require appropriate safeguards to be used in accordance with UK data protection law.


How long we keep your information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

As a general policy:

  • information relating to an enquiry that does not result in a booking will normally be retained for up to 24 months after the last meaningful contact; 
  • information relating to customers and completed bookings, including records required for accounting and tax purposes, will normally be retained for six years after the end of the relevant tax year; 
  • information may be retained for longer where there is a specific legal, regulatory or dispute-related reason for doing so; 
  • photographs, testimonials or promotional material may remain in use while they remain relevant and we have an appropriate lawful basis for using them. 

We periodically review the information we hold and delete or anonymise information that is no longer required.

Our website may use cookies and similar technologies to operate correctly, protect forms from spam and abuse, and understand website usage.
